At Mootivation Technologies Corp., we are serious about protecting privacy. This privacy policy governs your use of the software application Incentli (“Application”), including mobile devices and the integrated web dashboard that was created by Mootivation Technologies Corp (“we”, ‘us”, “our”). The Application encourages users to interact with other software using motivational design and gamification techniques.
What information does the Application obtain and how is it used?
User Provided Information
When a user logs into our Application, we will collect and store the following information: Username, First Name, Last Name, Email Address. If you are assigned a dashboard user role, we will collect and store your email address in addition to a hashed password chosen by the user to gain access to this part of the Application.
If you use the shipping integration, we will collect the following contact information from the user: company name, First Name, Last Name, Phone Number, Email Address, and Mailing Address. This information is used to generate a CSV file that is emailed to specified individuals within your organization to fulfill the redemption. The sole purpose of collecting this information is to facilitate the shipping process of physical items to users.
If you use the social/recognition system, we may collect the following user information: onboarding date, work anniversary, and birthdate. The sole purpose of collecting this information is to automate the rewards and recognition messaging.
User-Gathered Information
When you visit or log in to our website (www.incentli.com), cookies and similar technologies may be used by our online data partners or vendors to associate these activities with other personal information they or others have about you, including by association with your email. We (or service providers on our behalf) may then send communications and marketing to these email. You may opt out of receiving this advertising by visiting https://app.retention.com/optout
Which servers are used and where are they located?
Our services are hosted on Microsoft Azure. Our Global server is in Toronto, Canada, and our E.U. server is in Amsterdam, Netherlands.
How Information is Used
We do not collect, use, or share such information for any purposes beyond the authorized motivational design and gamification purposes. We do not sell or share any information collected by our Application. The data is collected to allow users to access the Application and to allow organizations to manage the Application to suit their needs. User information is used to enhance social features within the Application to allow the organization to monitor users easily, and to award coins and items. We will use anonymous user metrics on our servers to improve the user experience and to guide further development.
Does the Application collect precise real time location information of the device?
This Application does not collect precise information about the location of your mobile device.
Do third parties see and/or have access to information obtained by the Application?
Only aggregated, anonymous data is periodically transmitted to external services to help us improve the Application and our service. We will share your information with third parties only in the ways described in this privacy statement.
We may disclose User Provided and Automatically Collected Information:
- as required by law, such as to comply with a subpoena or similar legal process;
- when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
- if Mootivation Technologies Corp. is involved in a merger, acquisition, or sale of all or a portion of its assets, the organizations that hold an account with us will be notified via email and/or a prominent notice on our Application or webpage (www.incentli.com) of any change in ownership or uses of this information, as well as any choices you may have regarding this information.
What are my opt-out rights?
You can quickly stop the Application from collecting information by uninstalling it. You can also remove the Application’s functionality by having the administrator remove the user permissions.
GDPR, Data Retention Policy, Managing Your Information
We process personal data as a Processor as defined by the GDPR.
We will retain User-Provided Information for as long as you use the Application and for 12 months after the last user login. The sole purpose of retaining this User-provided data is to save the user’s progress in the Application. We will retain Automatically Collected anonymous information for up to 12 months and thereafter may store it in aggregate. If you would like to review, update, or delete any user-provided information, please contact our Data Protection Officer (DPO) and Director Jeff Campbell, by email at support@incentli.com. Please note that we may require you to verify your identity to support these requests. A dashboard administrator in your organization can also delete your personal information and data.
Security
We are concerned about safeguarding the confidentiality of your information. We provide physical, electronic, and procedural safeguards to protect the information we process and maintain through Microsoft Azure. For example, we limit access to this information to authorized employees and contractors who need to know that information to operate, develop, or improve our Application. Please be aware that although we endeavor to provide reasonable security for the information we process and maintain, no security system can prevent all potential security breaches. In the event of a security breach, we will notify the account holders to contact users within 72 hrs of discovering the breach.
Changes
This Privacy Policy may be updated from time to time for any reason. You are advised to consult this Privacy Policy regularly for any changes.

Your Consent
By using the Application, you consent to our processing of your information as outlined in this Privacy Policy and as amended by us. “Processing” means using information in any way, including, but not limited to, collecting, storing, deleting, using, combining, and disclosing information. If you are subscribed to our global server, all of these activities will take place in Canada. If you reside outside of Canada, your information will be transferred, processed, and stored there under Canadian privacy standards.
If your organization uses our Application via our EU server, the processing and retention of your User-Provided Information will occur in the Netherlands and not be transferred outside of the EU. Our Privacy Policy covers the use of the Application but does not cover any related third-party software or programs.
